Arrive on time. Keep a lookout for guests and visiting Rotarians at the Door Table  and the bar area. Introduce yourself and welcome them to the Rotary Club of  Fiordland.  Assist them with documentation and make sure they sign the Visitors’ Book. Advise them on our meeting format and procedure, where they will  sit and generally what they may expect. Visiting Rotarians need to know the President’s name for their self-introduction. Let the President know of any visitors as the President will also need to know their names. Make sure the Guest Speaker is introduced to the member on ‘Guest Speaker Introduction’ duty and if possible, to the President. Other visitors should be introduced to members with similar classifications for fellowship, and to free you up for possible other guest arrivals. Let the Manager or staff know that there will be additional places to be set up at table and meal numbers increased, if visitors have not previously advised of their attendance  - many do inform us in advance.

 

Meet the Guest Speaker on arrival. Assist with setting up any equipment brought.  If the Speaker has a laptop, make the necessary introduction to the member  setting up the projector.  Entertain the Guest Speaker and explain the meeting  format and procedure. If possible,  introduce the Speaker to the President.  Show the Speaker where to sit and advise at what stage of the meeting  they will be introduced.  Find out a little about the Speaker and their subject  during dinner and use this information in your short introduction.  Let the Speaker  know that the microphone will need to be used. The Speaker will already know the expected length of their address (20 minutes),  but you may be able to work this into the conversation!
